Choose the Small Office Phone System That's Right for You

By Martin T. Kampfmann

Choosing the right small office phone system is necessary no matter the type of business you operate to ensure it operates properly. Because phone calls are still the best way to talk with clients and co-workers on a regular basis it is important to make certain that calling is done efficiently. Choosing a phone system that meshes with the functioning of your office is easy, so long as you know exactly what it is you need from your phones.

While there are some companies that only need inbound calling services, it is still important to find the right phone provider. A phone system that focuses on inbound calling is ideal for those businesses that obtain a large volume of calls each day, such as a customer service hotline, sales representatives or over the phone troubleshooting technicians. Since these forms of businesses don't really rely so much on making outbound calls as they do on clients or customers calling them, there's no need to stress on a small office phone system that deals with both incoming and outgoing calls. Instead, a plan that deals with inbound calls, primarily toll-free calling, would save you money with your phone bill each month.

The majority of companies don't just work with inbound calling however, there are many that make cold-calls or need to make check up outbound calls as well. So too do companies that need to place orders or have telephone meetings or anything else that may require calling outside the office. For that reason it is important to determine whether you will need both inbound and outbound calling benefits added into your small office phone system before signing up for any plan.

The ability to have a fax system included in your small business may be a necessity. So making sure that you choose a phone plan that also has incoming and/or outgoing faxes is an important consideration in choosing a phone system. All you have to do is decide the number of phone calls and faxes that you are going to make per month, and determine whether you need long-distance coverage on your phone plan before you sign up.

When you have voice over IP calling your phone system will be better and more reliable for your business. Instead of transmitting voice calls through traditional phone lines, VoIP transmits calls via an internet connection. A small office phone system that is not created with VoIP service providers is certainly not going to provide you with the quality calling and versatile features that come from a cost-effective internet-based phone plan.
